General Terms and Conditions
Valid for bookings that includes conference and meeting rooms
Planning form
• A planning form will be sent out in advance of the event, and it is important that this is filled out and returned within the given deadline. Here you will be able to fill in important information such as payment information and allergies
Conference/meeting room access
• You will have access to the room that you booked during the period you have confirmed in the planning form. If you want access earlier, this must be agreed upon in advance, as we cannot guarantee that the venue will be available if you show up earlier
• If you want to extend the time or book another conference/meeting room during your stay, this must be arranged in writing as we might be fully booked
• When arriving at the Hotel, you must check in at the reception to receive the key for the conference/meeting room
• You will receive a day planner when you check in, so you know what will happen when
Meals
• When filling out the planning form you will choose what time you want to have your meals and breaks, these times will be set unless agreed upon in writing
• If you wish to add refreshments close to your arrival date, we cannot guarantee that everything on our menu will be available
• It is important that you let us know regarding any allergies, so that we can plan the menu accordingly
• It is not allowed to bring your own food or drinks to our venues
• If you order “Lunch of the day”, please note that if we have more than 20 guests for lunch, it will be served in our restaurant. If it’s less than 20 guests, we will serve a lunch plate in the conference area
Cancellation and changes
• We understand that changes may occur, please see your confirmation e-mail for cancellation deadlines
• All cancellations and changes must be made in writing
• If the cancellation has been made after the payment deadline, the hotel is entitled to charge a cancellation fee
• No compensation will be given if the participants does not attend the meals that have been confirmed on their behalf
Payment
• The hotel reserves the right to claim a deposit equal to the cost of the services booked to guarantee the booking
• The organiser is responsible for full payment of all costs that may arise. This includes services that should have been paid by an individual participant of the group
• All payments must be made in Norwegian krone (NOK)
• We offer four different payment methods:
o Proforma invoice – bank transfer prior to arrival
o Payment link – online payment by credit card prior to arrival
o Direct payment during check-in (only valid for small amounts and must be agreed upon prior to your arrival)
o Invoice after leaving our hotel (only valid for companies with a Norwegian organisation number)
Parking
• The hotel can offer both inside and outside parking. The parking area is run by an external partner, which means that the Hotel is not responsible for the parking areas
• Parking permits are purchased at the parking metre near the car parks
• All parking is at your own risk
Damage on the property
• The organiser is responsible for any damage that is recklessly done by the participants during their stay at the Hotel
• The organiser is responsible for any missing equipment from the conference room
• The hotel is not responsible for any damages or loss of valuables that are not stored in the hotel’s safe, and the guest can provide a receipt
Force majeure
• Strike, lockout, fire, non-delivery, or any other circumstances beyond the control of the hotel, gives Anker Hotel the right to cancel the contract without any notice and liability
• Anker Hotels liability regarding the signed contract is limited to Norwegian laws and regulations
